Back Expo&Events: European Astronomical Society Annual Meeting

Kuehne+Nagel team coordinated the logistics of the exhibition at the largest conference for European astronomy. Working together, the local contract logistics, road logistics and customs agency teams, as well as the company's German branch, ensured the safe transport and storage of exhibits of high historical value.

In July 2023, Kuehne+Nagel's team in Poland provided comprehensive logistics services for the annual meeting of European Astronomical Society. The company was responsible for receiving the high-value exhibits of six European exhibitors, preparing a dedicated cargo storage area in a logistics centre in Sosnowiec, and safely delivering and collecting them by solo trailer to and from the event site. The delivery was made in a non-standard transport service on Sunday.

The team was also responsible for setting up the exhibits on the stand in strict accordance with the Organizer's instructions. In order to accomplish this task and not encroach on the exhibition space, Kuehne+Nagel provided the appropriate equipment – a pallet truck with rubberized wheels. 

Once the exhibits were unpacked and positioned, the team picked up the cases and packaging in which the cargo was safely transported to its destination and, for the period of the exhibition, transported them to a dedicated facility.

After the event, the exhibits were properly packed and secured in special wooden cases, allowing them to safely reach the exhibitors' locations in Germany and the Netherlands. All customs formalities were prepared before the Kuehne+Nagel customs agency.

Throughout the event, Kuehne+Nagel collaborated with international organizations that did not have a NIP number, which made it necessary to introduce new procedures, preceding verification by the legal and finance departments.

The team proactively supported exhibitors in understanding shipment clearance procedures and implemented tools, ensuring a smooth flow of information and constant contact with all parties involved in the logistics of the event.
